Job Title: Operations & Project Coordinator
Compensation: $2,500- 3,000/month, (salary depending on experience)
Location: Remote, LATAM
Working hours: Monday to Friday, 9 AM to 5 PM PST

About the Role:

This role blends hands-on operations and administrative support with project coordination across marketing and sales. You’ll be a key partner in keeping teams organized, initiatives moving forward, and day-to-day operations running smoothly.

Key Responsibilities

Operations & Administrative Support (50%)

  • Provide day-to-day administrative and operational support across teams

  • Administrative product support responsibilities like customer support requests, monitoring platform feeds, and daily engagement in platforms.

  • Support team administration, including scheduling team meetings and coordinating logistics

  • Track out-of-office schedules and manage coverage communications

  • Maintain and oversee the company calendar, including holidays, birthdays, and anniversaries

  • Coordinate travel logistics such as flights, ground transportation, hotels, and dining reservations

  • Partner with a local personal assistant to coordinate hosting at HQ and related logistics

  • Misc. operations project support such as subscriptions and software license tracking, invoice and contract support, and other basic digital “housekeeping” items.

  • Conduct research projects as needed for varied initiatives

  • Provide executive administrative support, such as calendar management and scheduling for key leadership roles.

Project Management & Marketing / Sales Support (50%)

  1. Serve as project coordinator for marketing- and sales-led initiatives

  2. Create, own, and maintain project plans for marketing campaigns and sales projects

  3. Translate marketing and sales needs into actionable project plans, timelines, and task lists

  4. Track tasks, follow up on calls to action (CTAs), and help ensure projects move forward on schedule

  5. Project-manage client-specific initiatives such as slide deck creation for client presentations

  6. Support planning and execution of client-facing events (virtual and in-person)

  7. Manage event details such as schedules, vendor coordination, booth ordering, and logistics

  8. Collaborate cross-functionally with marketing, sales, operations, and leadership to support successful project delivery

Skills & Qualifications

  • Fluent English speaker with clear written and verbal communication skills

  • Experience working for a US-based company before, ideally in a startup environment

  • Strong organizational skills with the ability to manage multiple priorities simultaneously

  • Comfort working in task- and project-management tools (e.g., Teamwork or similar platforms such as Asana)

  • High attention to detail and follow-through

  • Ability to track tasks, deadlines, and dependencies across multiple projects

  • Strong administrative and scheduling skills, including calendar and meeting coordination

  • Basic understanding of marketing and sales workflows (or eagerness to learn)

  • Ability to handle sensitive or time-critical information with discretion

  • Proactive, reliable, and comfortable asking questions when priorities are unclear

  • Collaborative attitude with the ability to work across teams and roles Adaptable and comfortable in a fast-paced, evolving environment
