About the Role
The receptionist serves as the first point of contact for clients, visitors, and callers, providing professional and courteous service both in person and over the phone. This role is responsible for managing incoming communications, directing inquiries appropriately, and supporting daily administrative operations to ensure the smooth functioning of the agency. This receptionist position is designed for a future opportunity to become a licensed Insurance Account Manager.
Essential Duties and Responsibilities
Greet and assist clients and visitors in a friendly and professional manner.
Answer, screen, and route incoming phone calls to the appropriate staff members.
Screen and redirect unsolicited sales calls.
Receive, sort, and distribute incoming mail to appropriate personnel.
Prepare and process outgoing priority mail.
Receive and distribute incoming faxes; monitor outgoing faxes to ensure successful transmission.
Routinely monitor department administrative email inboxes and distribute messages as needed.
Maintain a clean, organized, and professional reception area.
Organize and monitor office supply inventory and maintain the supply room.
Provide data entry support to Personal Lines and Commercial Lines departments by updating customer accounts as needed.
Perform additional clerical and administrative duties as assigned to support agency operations.
