We are actively seeking a highly skilled and experienced Payroll Specialist to become a key member of our finance team. This role offers the chance to work in a fast-paced environment where your contributions will directly impact the success of a growing organization.

Payroll Associate – Chicago

Chartis is seeking a Payroll Associate to join our team of dedicated colleagues. This role plays an important part in supporting our payroll operations and ensuring our colleagues are paid accurately and on time. You’ll have the opportunity to work in a fast-paced, collaborative environment where your contributions directly impact the success of our growing organization.

What you’ll do

  • Prepare and process bi-weekly and hourly payrolls

  • Assist the Payroll Manager with exempt/non-exempt semi-monthly payrolls

  • Monitor, audit, and assist with timecard submissions to ensure accuracy and compliance

  • Manage the firm’s payroll mailbox, responding promptly and professionally to colleague inquiries

  • Prepare, reconcile, and distribute payroll and headcount reports to Finance

  • Coordinate wage adjustments, tax updates, and other payroll changes

  • Ensure compliance with all federal, state, and local payroll regulations

  • Support year-end payroll processes, including W-2 review and distribution

  • Partner closely with HR and Finance on projects and process improvements

What we’re looking for

  • Experience with ADP Workforce Now (WFN) payroll systems and Workday.

  • Minimum 3 years of payroll experience; professional services and multi-entity company experience preferred

  • Strong understanding of payroll regulations and tax laws

  • Proficiency in ADP, Workday, and Microsoft Office tools

  • Excellent attention to detail, organizational skills, and time management

  • Ability to handle sensitive information with confidentiality and integrity.

  • A team player with strong communication skills who enjoys working in a collaborative environment

  • Bachelor’s degree in Accounting, Business Management, or related field preferred

Salary range is $63,000 to $78,000, plus may be eligible for an annual discretionary bonus. The salary range for this role takes into account the wide range of factors that are considered in making compensation decisions including, but not limited to, skills, experience, training, licensure and certifications, practice area, and other business and organizational needs. In addition, Chartis offers several benefits including medical, dental, vision, HSA, FSA, disability insurance, life insurance, 401(k) match, paid time off, wellness stipend, and additional voluntary benefits.
