About the Company

Our client is a well-established, commercial-focused company founded in 1970 in Miami, specializing in providing turnkey commercial flooring solutions for large and complex projects across diverse markets including Corporate, Healthcare, Education, and Government. We offer a comprehensive product portfolio—from sustainable carpets and resilient flooring to wood and ceramic tile—backed by expert project management, design support, and logistics

The Opportunity

We are seeking a fast-paced, highly communicative, and detail-oriented Estimator Coordinator to be a critical link between our clients, in-house estimating team, and remote pricing department. This role is essential for ensuring the timely and accurate completion of bids by managing the coordination, communication, and administrative aspects of the estimating process.

The focus of the role is on coordination, liaison, and maintaining a rapid workflow. The ideal candidate thrives in a high-pressure, constantly evolving environment and is highly proactive.

Key Responsibilities

The Estimator Coordinator will act as a central coordinator for the bid process, ensuring seamless communication and workflow management. Responsibilities include:

Bid Coordination & Communication:

  • Liaison between Estimating and Clients: Receive, analyze, and manage Invitations to Bid (ITB). Facilitate communication between our in-house estimating team and the client.

  • Request for Information (RFI) Management: Handle all RFIs generated by the estimating team regarding blueprints, scope, or quantities. Discuss these RFIs with customers/clients and secure timely answers, then communicate the resolution back to the estimating team.

  • Pricing Department Coordination: Manage the workflow of the remote pricing department (India-based). Ensure all necessary information is provided for pricing requests.

  • Vendor Communication: Proactively pick up the phone to call vendors and suppliers to request pricing when email requests are insufficient or a faster response is needed.

  • Deadline Management: Rigorously track all bid deadlines and ensure all necessary parties (estimating, pricing) are on top of their game to meet submission timelines.

Technical & System Management:

  • Flooring Terminology: Quickly understand and utilize the fundamental terminology of the commercial flooring industry to effectively communicate with clients and estimators.

  • Bid Tracking Software: Master the use of the company's proprietary bid tracking software (specifically the Joint AI system) to log, track, and manage the status of all active bids and takeoffs.

Required Qualifications & Skills

Must have:

  • Proven background in construction project coordination, or a related administrative field. Minimum 2 years of experience in a similar role.

  • Mandatory experience in the construction industry.

  • Exceptional Communication Skills (English): The ability to speak and communicate clearly and fluently with US-based customers and internal teams is absolutely critical for success in this role.

  • Strong organizational and time management skills. Must be comfortable with a dynamic environment where priorities can shift quickly.

  • Proven ability to manage multiple simultaneous tasks, prioritize effectively, and coordinate between several internal and external stakeholders.

  • Proactive and Curious Mindset: Must be a self-starter who asks necessary questions, demonstrates curiosity, and is keen to understand processes rather than simply agreeing to instructions.

  • High level of accuracy and attention to detail.

  • Competency with Microsoft Office Suite (Outlook, Teams)

  • Ability to understand basic construction documentation (blueprints/takeoffs) and RFIs, even without being a technical estimator.
