Full Job Description

We are hiring a full-time Bookkeeper / Accountant to support a U.S.-based fractional CFO firm serving service-based businesses across the United States. This role is highly hands-on and execution-focused, with daily responsibility for maintaining accurate, accrual-based books in QuickBooks Online.

You will not be replacing the CFO. Your work directly supports CFO review, analysis, and decision-making. Accuracy, consistency, and documentation are critical in this role.

This is a long-term opportunity for someone who takes pride in clean financials, understands the “why” behind accounting entries, and wants to grow beyond task-based bookkeeping into a more senior accounting or lead role over time.

Non-Negotiable Requirements

This role requires hands-on experience with:

  • QuickBooks Online (daily, active use)

  • Accrual-based accounting

  • Booking and reviewing payroll journal entries (wages, taxes, allocations)

  • Monthly bank and credit card reconciliations

  • Supporting multiple client accounts

  • Maintaining clean, accurate balance sheets and understanding how and why they stay clean

What You’ll Be Responsible For:

Bookkeeping & Accounting

  • Categorize bank and credit card transactions accurately in QuickBooks Online

  • Reconcile all bank and credit card accounts on a monthly basis

  • Record and review payroll journal entries

  • Ensure correct classification between COGS and operating expenses

  • Maintain consistent and accurate use of the chart of accounts

  • Proactively flag anomalies, errors, or unclear transactions

Client & Process Support

  • Learn and manage each client’s accounting setup and nuances

  • Ask clarifying questions when transactions or activity do not make sense

  • Create and maintain client-specific SOPs in Notion

  • Improve documentation as processes evolve

  • Over time, communicate directly with clients regarding bookkeeping questions and corrections

CFO Support

  • Prepare clean, CFO-ready financials

  • Support month-end close activities

  • Communicate issues clearly and concisely to the CFO team

  • Take ownership of assigned clients, deadlines, and deliverables

What We’re Looking For

  • Strong, hands-on experience using QuickBooks Online

  • Deep understanding of accrual-based accounting

  • Solid knowledge of U.S. bookkeeping and payroll processes

  • Experience supporting multiple client accounts simultaneously

  • High attention to detail and commitment to accuracy

  • Strong written and verbal English communication (C1 or C2 required)

  • Ability to explain how and why transactions are booked

  • Comfortable working within structured processes while thinking independently

Bonus Experience (Nice to Have)

  • Light exposure to budgeting or forecasting

  • Prior experience supporting CFOs or preparing CFO-ready financials

  • Experience reviewing or mentoring junior accounting staff

Education

  • Degree in Accounting or a related field strongly preferred
