Summary

The Benefits Administrator plays a critical operational role in supporting global benefits programs, working closely with the Benefits team to ensure the smooth day-to-day execution of benefit launches, renewals, and ongoing administration. This is a hands-on, detail-oriented position suited to someone who thrives in a fast-paced, cross-functional environment and is eager to grow their expertise in global benefits operations.

Responsibilities

  • Support end-to-end benefit launch processes by preparing, populating, and tracking benefits templates in coordination with the Benefits Manager and vendors

  • Maintain and update the benefits Jira tracker, including creating tickets and logging progress across launch milestones

  • Coordinate document collection from vendors and flag incomplete or outstanding items to the Benefits Manager

  • Assist with QA checks prior to launch, including verifying benefit configuration in Deel Admin and reviewing enrollment data for accuracy

  • Prepare enrollment bulk upload files using Looker, apply correct filters, and remove duplicate records prior to submission to Engineering

  • Support the ingest ETL file creation process and ensure templates are ready ahead of payroll cutoff dates

  • Assist with post-launch tasks including invoice reconciliation, ingest validation, and enrollment checks

  • Track upcoming renewal dates and support timely initiation of the renewal process

  • Assist with preparation of renewal documentation, rate sheets, and vendor-facing materials under the direction of the Benefits Manager and Broker team

  • Update internal documentation including CKB articles, snapshots, and the GSC tracker with new rates and plan details

  • Support configuration updates in the EOR Benefits Configurator, including uploading client and employee snapshots and updating the invoice increase percentage

  • Help prepare client and employee communications using AI drafting tools, following established templates and processes

  • Assist in creating and managing surveys for client selection during open enrollment periods

  • Monitor and track continuous compliance ticket progress, flagging any outstanding items to the Benefits Manager

  • Assist with post-renewal tasks including invoice reconciliation, ingest validation, and enrollment checks

  • Maintain accurate and up-to-date records across shared drives, Jira, and internal trackers

  • Respond to standard employee and internal queries related to benefits, escalating more complex issues to the Benefits Manager

  • Support the preparation of talk tracks and enablement materials for Sales and CS teams

  • Assist with coordination across internal teams including GSC, PRM, Knowledge, Finance, and Engineering as directed

  • Contribute to lessons learned documentation following each launch or renewal cycle

  • Test AI chatbot to verify benefit information is captured correctly post-launch and post-renewal

Qualifications

  • Experience: 2–5 years of experience in benefits administration, HR operations, or a related field.

  • Attention to Detail: High degree of accuracy in data handling, documentation, and enrollment processes.

  • Tools: Comfortable working with project tracking tools, spreadsheets, reporting platforms, and collaboration tools such as Slack or similar.

  • Organisation: Ability to manage multiple tasks and deadlines simultaneously in a fast-paced environment.

  • Communication: Clear written and verbal communication skills, with the ability to liaise effectively across internal teams and with external vendors.

  • Collaboration: A proactive, can-do team player who works well in cross-functional, distributed environments.

  • Global Mindset: Ability to work across time zones and with diverse, international teams.

  • Nice to Have: Experience or familiarity with payroll, HR systems, or benefits platforms.
