Role Overview
As the Team Assistant (Communications, Government Affairs & Marketing), you will serve as the operational backbone of our global Communications, Government Affairs, Public Policy, and Marketing departments.
This pivotal role ensures the smooth coordination of internal processes, executive operations, international stakeholder interactions, and cross-functional collaboration across Europe, the United States, and other international markets. By expertly managing schedules, travel logistics, events, documentation, budgets, and workflows, you will create the necessary space for our leadership team to focus on strategic priorities — while guaranteeing flawless execution across all administrative and organizational activities.
In this position, you will play a critical enabling role across a spectrum of high-impact activities, including political engagement, investor relations, international conferences, executive communications, branding, media operations, and high-level stakeholder coordination. The role demands exceptional organizational skills, reliability, discretion, and the ability to thrive in a fast-paced international setting involving governments, industry leaders, investors, research institutions, and global partners.

Key Responsibilities
Executive & Team Coordination
Provide proactive operational and administrative support to the Chief Communications & Government Affairs Officer and broader teams.
Manage complex international calendars, coordinate meetings, and optimize executive schedules across multiple time zones.
Facilitate internal workflows and support cross-functional collaboration between teams in Europe, the U.S., and global partner organizations.
Act as a reliable communication hub between leadership, staff, external stakeholders, and service providers, ensuring seamless information flow.
Proactively identify and resolve scheduling conflicts, preparation gaps, and follow-up requirements.
International Travel & Logistics Management
Plan and manage all aspects of international travel, including flights, hotels, visas, transfers, itineraries, and conference logistics.
Support executive participation in political meetings, ministerial visits, investor roadshows, trade fairs, summits, and high-level engagements.
Prepare detailed travel briefings, background documents, and logistical plans to ensure executives are fully prepared.
Organize visits from politicians, investors, delegations, industrial partners, and media, managing logistics from invitation to follow-up.
Government Affairs & Stakeholder Support
Organize political roundtables, parliamentary visits, stakeholder workshops, diplomatic events, and strategic government engagements from an operational perspective.
Maintain up-to-date stakeholder contact lists, manage briefing distribution, invitations, follow-ups, and documentation.
Ensure all political and regulatory interactions are managed with the highest standards of confidentiality and professionalism.
Communications & Marketing Operations
Coordinate operational aspects of communication campaigns, media activities, social media planning, branding materials, and marketing initiatives.
Liaise with PR agencies, graphic designers, photographers, video teams, printers, and external communications vendors; manage timelines and deliverables.
Support the preparation and formatting of presentations, policy papers, press materials, briefing documents, and speeches — ensuring high quality and brand consistency.
Oversee content workflows, approval processes, version control, and document consistency.
Event & Conference Management
Assist in planning and executing conferences, trade fairs, policy events, investor events, international summits, workshops, and internal team events.
Coordinate event logistics, including registrations, invitations, guest management, travel arrangements, catering, venues, and on-site support.
Prepare agendas, briefing books, meeting materials, coordinate speakers, and manage post-event documentation.
Support high-profile events such as COP conferences, IAEA meetings, EU Energy Days, industry events, political visits, and stakeholder gatherings, representing Focused Energy with professionalism.
Budget, Procurement & Administrative Support
Track and manage team budgets, expenses, invoices, purchase orders, and finance workflows, ensuring accuracy and timeliness.
Coordinate procurement processes and handle relationships with external vendors and service providers.
Prepare expense reports, financial tracking summaries, and administrative reports for leadership.
Support contract management, document filing, approval workflows, and administrative compliance.
HR, Onboarding & Team Support
Coordinate onboarding activities for new team members, including workspace set-up, access, introductions, and onboarding session scheduling.
Support recruiting coordination, including interview scheduling, candidate communication, and HR-related workflows.
Maintain internal team structures, contact databases, org charts, and communication routines.
Foster a collaborative, organized, and professionally excellent team environment.
Process & Organizational Optimization
Develop and maintain templates, tools, and workflows that enhance efficiency, transparency, and consistency across the department.
Support the implementation and maintenance of digital collaboration and project management systems.
Identify operational bottlenecks and propose pragmatic, scalable process improvements.
Ensure best-practice document management and administrative standards across the organization.
Profile / Requirements
3–6 years of experience as a Team Assistant, Executive Assistant, Project Coordinator, or in an Operations Support role within an international environment.
Preferred experience in technology, energy, communications, public affairs, consulting, government, or fast-paced startup sectors.
Exceptional organizational, coordination, and multitasking abilities with keen attention to detail — even under pressure.
High level of professionalism, reliability, and discretion; able to handle sensitive and confidential information appropriately at all times.
Strong communication and interpersonal skills; confident when interacting with executives, policymakers, investors, media representatives, and international stakeholders.
Advanced proficiency with Microsoft Office (Outlook, PowerPoint, Excel, Teams) and Google Workspace.
Demonstrated experience in travel coordination, event management, budget tracking, and vendor coordination strongly preferred.
Able to work independently, proactively, and calmly in a fast-paced, international environment.
Fluent in English and German (written and spoken); additional languages are a strong plus.
