As Operations Coordinator at Knowtex, you'll support the Head of Operations in a broad generalist role covering finance support, tool administration, recruiting coordination, and social media. The Role
We're looking for a sharp, resourceful Operations Coordinator to support our Head of Operations and keep the day-to-day engine of the business running smoothly. This is a true generalist role — built for someone who thrives on variety, takes ownership without being asked twice, and finds genuine satisfaction in bringing order to complexity.
You'll touch everything from finance support and tool administration to recruiting coordination and social media. No two weeks will look the same, and that's exactly the point. What You'll Do:
Business Operations
Own administration and setup of internal tools, software, and platforms; serve as the go-to resource for tool-related questions and troubleshooting
Document and maintain operational processes and SOPs, keeping the team aligned as we scale
Support special projects and strategic initiatives led by the Head of Operations
Finance Support
Assist with invoicing, billing follow-up, and basic reconciliation
Track and maintain accurate AR/AP records
Keep financial documentation organized and audit-ready
Serve as the day-to-day liaison with our CPA and CFO consultants, ensuring they have what they need to move quickly
People Operations & Recruiting
Manage day-to-day activity in our ATS — posting roles, organizing pipelines, scheduling interviews, and participating in the process
Conduct initial resume reviews and surface strong candidates to hiring managers
Support smooth onboarding and offboarding logistics for new and departing team members
Administrative & Communications
Coordinate domestic and international travel, including flights, hotels, and full itineraries
Manage scheduling and calendar coordination across the team
Assist with social media posting and scheduling across company channels, keeping content consistent, timely, and on-brand
What We're Looking For:
Located in the San Francisco Bay Area with availability for a hybrid schedule (2 days/week in-person)
2–4 years of experience in an operations, administrative, or coordinator role, ideally at a startup or growing company
Experience building and managing OKR and KPI frameworks
Comfortable context-switching and juggling multiple workstreams without dropping the ball
Familiarity with tools like QuickBooks, an ATS (Greenhouse, Lever, Ashby, or similar), and social media scheduling platforms
Strong attention to detail, especially with financial documents and candidate data
Proactive and low-ego — you notice what needs to be done and you do it
Clear, concise written and verbal communication
Discretion when handling sensitive information across finance, HR, and operations
Bonus Points For:
Experience supporting a finance team or working alongside fractional executives
Background in HR or people operations
Familiarity with project management tools like ClickUp, Notion, or Jira
