Summary
We’re looking for a system thinker, process optimizer and knowledge advocate - someone who loves making complex workflows simple, scalable and well-documented. As the Operation Excellence Specialist, you’ll own the design, improvement, and documentation of People Operations processes, ensuring our team operates efficiently, consistently and with clarity.
You’ll map end-to-end processes, uncover inefficiencies, implement automations and turn complex operations into accessible, actionable documentation. Your work will ensure our People Team runs smoothly, compliantly and continuously as we scale.
Key Responsibilities
Process Optimization & Automation:
Lead deep dives into complex, cross-functional People Ops processes (e.g., hiring, transfers, onboarding/offboarding, data changes) to identify inefficiencies and improvement opportunities.
Partner with People Tech, HRIS, and Product teams to implement automation solutions using system workflows, HRIS configurations, or ticketing tools.
Execute User Acceptance Testing (UAT) for new process designs or automation workflows, ensuring alignment with business requirements and smooth end-user experience.
Documentation & Knowledge Management:
Develop, maintain, and standardize SOPs, process guides, playbooks, and job aids for the People Team.
Own the centralized knowledge base (e.g., Confluence, Notion, internal wiki), ensuring content is accurate, up-to-date, searchable, and aligned with process standards.
Create and maintain documentation templates, style guides, and version control practices across People Ops.
Partner with HR and Compliance teams to formalize process updates into official policies.
Continuous Improvement & Change Enablement:
Establish process metrics, monitor performance, and recommend enhancements based on data-driven insights.
Regularly audit processes and documentation for relevance, clarity, and accessibility.
Support process rollouts with training materials, communication plans, and stakeholder guidance.
Stay informed on new automation technologies, process improvement trends, and best practices to continuously evolve People Ops efficiency.
Collaboration & Cross-Functional Partnership:
Work closely with People Ops, Product, Engineering, Compliance, and IT teams to ensure end-to-end process alignment.
Facilitate process mapping sessions, stakeholder discussions, and knowledge-sharing initiatives.
Qualifications
2-4 years of experience in People Operations, Process Improvement, Knowledge Management, or Technical Writing roles.
Proven experience in process analysis, optimization, automation, and redesign across HR or business operations.
Hands-on experience with HRIS systems (e.g., Workday, Deel, BambooHR, Rippling) and workflow tools.
Exceptional writing and documentation skills; ability to translate complex processes into clear, actionable content.
Strong analytical skills and experience using data to measure process and documentation improvements.
Proficiency with knowledge management tools (Confluence, Notion, Guru, SharePoint) and process mapping tools (Figma, Lucidchart).
Excellent collaboration, communication, and facilitation skills to work across technical and non-technical teams.
Detail-oriented, organized, and capable of managing multiple projects simultaneously.
Bonus Points
Certification or training in Lean, Six Sigma, process improvement, or technical writing.
Experience implementing or managing knowledge bases or documentation frameworks at scale.
Background in HR systems, change management, instructional design, or training development.
Familiarity with Jira or similar tools for workflow management and ticket triage.
Passion for scaling People Operations through technology, automation, and knowledge-sharing practices.
