Your Responsibilities:

Office Operations

  • Support the day-to-day organisation of the office, helping to keep the workspace tidy, functional, and welcoming

  • Assist with managing office supplies, equipment, and meeting rooms

  • Help coordinate office maintenance, repairs, and service requests

  • Support communication with vendors, service providers, and contractors


Administrative Support

  • Assist teams with scheduling, meeting coordination, and occasional travel arrangements

  • Help manage calendars, meeting bookings, and conference calls

  • Support the Executive Assistant during holidays or absences, particularly with scheduling tasks

  • Handle incoming and outgoing communication, including emails and visitors

  • Act as a friendly first point of contact for guests and team members in the office


Team & Culture Support

  • Support the organisation of team events, workshops, and off-site meetings

  • Work closely with People Operations to help onboard new employees

  • Contribute ideas and support initiatives that improve team happiness and engagement

  • Act as a go-to contact for basic employee questions and office-related topics

  • Help foster a positive, collaborative office atmosphere aligned with Hawk’s values


Your Profile:

  • Currently enrolled in a bachelor’s or master’s programme (e.g. business administration, office management, or a related field)

  • Interest in office operations, administration, or people-focused roles

  • Strong organisational skills and attention to detail

  • Reliable, proactive, and able to manage multiple small tasks effectively

  • Comfortable communicating with different stakeholders in person and via email

  • Confident using standard office tools (e.g. Microsoft Office or Google Workspace)

  • Positive attitude, hands-on mindset, and willingness to learn

  • Fluent in English; German at B1 level or above is a plus
