Full Job Description
The Events & Marketing Coordinator plays a critical role in executing high-impact in-person events and supporting broader marketing initiatives. This individual will serve as the primary point of contact for seminars, client events, sponsorships, and industry conferences — ensuring seamless planning, logistics, and execution.
In addition, this role will provide cross-functional marketing support, assisting with RFP reviews, presentation development, design coordination, and other high-priority projects as needed. This is a highly collaborative, detail-oriented role ideal for someone who thrives in a fast-paced, service-driven environment.
Key Responsibilities
Event Planning & Execution
Serve as the primary coordinator for in-person seminars, workshops, client events, sponsorship activations, and conferences
Manage all event logistics including venue coordination, vendor management, catering, registration, materials, signage, and on-site execution
Develop event timelines, run-of-show documents, and post-event recaps
Coordinate with brokers, leadership, and subject matter experts to ensure alignment on goals and messaging
Keep to a budget and manage event-related expenses
Maintain an annual events calendar and ensure alignment with marketing and business development strategy
Identify opportunities to enhance attendee experience and brand presence
Sponsorship & Conference Support
Coordinate deliverables for sponsorship agreements (logos, ads, booth materials, attendee lists, etc.)
Manage booth logistics and branded materials
Ensure consistent brand representation across all event touchpoints
Marketing Operations Support
Assist with RFP review and coordination (formatting, brand alignment, deadline tracking, light editing)
Coordinate design requests with internal or external creative resources
Support presentation development and formatting for sales and leadership teams
Help manage marketing materials inventory and collateral updates
Qualifications
2–4+ years of experience in event coordination, marketing, or a related role
Experience managing logistics for in-person events (corporate or B2B preferred)
Strong organizational skills with exceptional attention to detail
Ability to manage multiple projects and deadlines simultaneously
Excellent written and verbal communication skills
Proficiency in Microsoft Office (especially PowerPoint and Excel)
Comfortable working in a fast-paced, deadline-driven environment
Willingness to travel locally for events and provide occasional on-site or overnight support
