Accounts Payable Specialist

SummaryThis is a 6 months temporary position.Reports directly to the Financial Controller, Europe; prepares and handles all accounts payable on a day-to-day basis. This includes processing vendor invoices, making timely payments, maintaining vendor relationships, and handling any other accounts payable-related tasks. This role is responsible for ensuring all payables are managed efficiently, accurately, and in compliance with company policies. Additionally, this role will be expected to provide recommendations for process improvements and potential software implementations. Scope & ResponsibilitiesManage all day-to-day billing for finance department (60%)Process and pay vendor invoices in a timely and accurate mannerEnsure that all vendor invoices are entered correctly and approved by the appropriate departmentsReconcile vendor statements and resolve any discrepanciesEnsure payment terms are met and manage early payment discounts as applicableMaintain up-to-date records for all accounts payable transactionsProcess payments for global vendors and partners as neededHandle employee reimbursements and credit card paymentsMaintain consistent process for payments (20%)Perform regular payments to vendors, contractors, and other service providersTrack accounts payable aging and ensure timely payments to avoid penalties and interestReport payment status and updates to the finance team, including the US Market Controller, Global Corporate Controller, and CFOMonitor total outstanding payables > 30 days to minimize late paymentsPrepare and distribute monthly accounts payable reportVendor Management and Communication (15%)Manage vendor relationships to ensure prompt resolution of any payment issuesEnsure all vendor records are up to date and accurateHandle communication with vendors regarding payment queries or discrepanciesMaintain standard operating procedures (SOPs) for accounts payable processesComplete vendor registration and necessary forms as neededOther Responsibilities (5%)Assist with month-end close processesManage day-to-day operations of accounts payable and interconnected systems (Salesforce, BC, PSA, Magento)Handle ad hoc projects as neededPerform audit requestsAssist with process improvements and system enhancements as requiredRequirementsCompetencies, Skills & QualificationsCompetenciesFinancial acumen Interprets and applies understanding of key financial indicators to make better business decisionsBalances stakeholders Anticipates and balances the needs of multiple stakeholdersBeing resilient Rebounds from setbacks and adversity when facing difficult situationsPlans and aligns Plans and prioritizes work to meet commitments aligned with organizational goalsDrives results Consistently achieves results, even under challenging circumstancesOptimizes work processes Reviews and implements the most effective and efficient processes to get work done, with a focus on continuous improvementBuilds network Effectively builds formal and informal relationship networks inside and outside the businessCollaborates Builds partnerships and works collaboratively with others to meet shared objectivesTechnical/Functional SkillsConfident use of MSOffice and experience of using a finance system ideally XeroComfortable working with data, and produces high quality accurate workProven ability to work with customers in varying scenariosQualifications3 years' experience working with accounts payable, vendor invoicing, and paymentsBasic understanding of bookkeeping and revenue recognition rulesAdditional PreferencesUnderstanding of customer vendor systemsCollege degree preferredKnowledge of Prosci Change Management offerings a plusWork Location: This is a fully remote role based from Spain or the UK.
